In Pakistan, your guest is not going to open an app to talk to you. The entire guest relationship — the enquiry, the haggling, the “bhai, location bhej dein” — lives on WhatsApp. Which means your guest communication is only as good as what you remember to type at 11pm.
The operators who feel “professional” to guests aren't typing more. They've standardised five messages, and they send every one, every time. Here they are — copy them into your own operation today, or automate them and never think about it again.
1. Booking confirmation — the trust anchor
Send it the moment the booking is confirmed. It kills the “did they actually book me?” anxiety on both sides and puts the dates in writing.
Assalam o Alaikum {guest name}! Your booking at {property} is confirmed: {check-in date} to {check-out date}, {guests} guests. Total: PKR {amount} (advance received: PKR {advance}). We'll send directions and check-in details a day before you arrive. Shukriya!
The advance line matters — writing the money down at confirmation time prevents 90% of check-in arguments.
2. Check-in details — the day before arrival
Location pin, arrival time, caretaker's number. This is the message guests forward to their driver, so keep it self-contained.
Salaam {guest name}! Looking forward to hosting you tomorrow at {property}. Check-in from {time}. Location: {pin}. Your caretaker {caretaker name} ({caretaker number}) will receive you. Please share your expected arrival time.
3. Welcome — right after check-in
Short and warm. It opens the support channel before anything goes wrong, so the first message you get isn't a complaint.
Welcome to {property}! WiFi: {network} / {password}. Anything you need during your stay, message us here — we respond fast. Enjoy!
4. Payment receipt — every single payment
Cash-heavy operations live and die on this one. Every rupee received gets acknowledged in writing, instantly.
Payment received: PKR {amount} for {property}, {dates}. Remaining balance: PKR {balance}. Shukriya, {guest name}!
The remaining-balance line does silent work: it makes the outstanding amount a shared fact instead of a month-end negotiation.
5. Checkout — the repeat-guest builder
Sent checkout morning. Confirms timing, and plants the seed for the next booking while the stay is still fresh.
Salaam {guest name}! Checkout today is at {time}. We hope you loved {property}. Book directly with us next time for the best rate — save this number. Safe travels!
Why “I'll send it myself” fails
None of these messages are hard to write. The failure mode is volume: three properties, a dozen guests a month, and each guest owed five moments of attention at exactly the right time. Miss the check-in message and your guest calls angry from the wrong gate. Miss the receipt and the balance becomes a memory contest. The system doesn't fail on message quality — it fails on timing, at scale.
That's why we built this into Maqam: booking confirmed, check-in reminder, welcome, payment received, checkout — each sent automatically on WhatsApp to the guest, the caretaker and you, triggered by what actually happens in the system. Same messages, zero remembering.
